Clay Fest Check In, Loading In & Out, Security & Safety

Check In:

Check in at the Info Table immediately upon arrival to get your show materials.

 

The envelope should include:

1. Your name tag. You and your helpers MUST always wear name tags. Blank name tags for your helpers are available at the info booth.

2. A name and number sign for your booth. Please display them in your booth.

3. Your voting ballots.

4. Clay in Education Booth barcode labels for you donation pieces. 

 

Please Return name tags and booth signs to the Information Table before leaving on Sunday, so they can be used next year.

 

Loading In and Out:

Loading In:

  • Unload your vehicle from the Performance Hall Loading Dock behind the building.  Please unload your vehicle quickly so others may use loading dock.  Vehicles should be moved to the parking lot prior to booth setup.  Clay Participants with booths located near the North wall may access the venue for load-in via the side doors. Park behind the auditorium and use the sidewalks to move your furniture and ceramics to your booth with a hand truck or cart.

  • You may not drive into the building, so hand trucks or carts are needed.

  • All parking at the fairgrounds is free.

 

Tear-Down begins at 5 PM Sunday:

  • Retrieve your gallery pieces and load pedestals into the U-Haul before packing your booth.

  • Do not remove clay pieces or take down displays, or place boxes in your booth, the aisle, or by the door before the designated time.

  • Only retrieve your vehicle after your booth is fully packed and ready for loading.

  • Kindly ensure that your area is left clean.

 

Security:

Limited security is provided during set-up on Friday from 8am- 2pm.  A security committee member will walk through the hall during set-up to verify that only artists and helpers are present in the building.   For added safety, wear your name tag, and keep valuables stored out of sight.  No security is provided on Thursday during set-up. 

 

Access to the building during show hours will be through the front/main doors.  All exits will be monitored by a security committee member during the show to ensure customers only use the front/main doors.  Clay Artists are permitted to use the back roll-up door near the Demo area.

 

Report suspicious behavior to the Info Table or Security at any time during set-up or the show.

 

Safety and Insurance:

Clay Fest maintains a Broken Pot Fund, supported by booth fees, to address certain cases of breakage. Only incidents involving damage exceeding $20 are eligible for consideration. Clay Fest does not carry an insurance policy, and compensation is not guaranteed. If items are broken or damaged during the event, a Broken Pot Form can be obtained at the Info Table. Each claim is reviewed by Steering Committee members, and their decisions are final.

 

Use sound judgement to protect your work. You won't be compensated for damage if your booth isn't sturdy. Avoid placing displays against neighboring booths or in aisles. Mark fragile items with handling instructions and position all pieces to minimize bumping or unsafe reach.
